Medical Office Assistant
The Medical Office Assistant at Unity Hospice plays a vital role in supporting the compassionate care provided by the Care Companions (CC) and Supportive Care Management (SCM) teams. This is a non-patient-facing role focused on managing schedules, coordinating care visits, communicating with new referrals, and handling essential clinical and administrative tasks. This position is integral to the smooth operation of our Supportive Care Management and Care Companion teams care, ensuring every patient receives the compassionate support they deserve.
Schedule: Monday – Friday, 8:00 am – 4:30 pm
Key Job Duties:
Scheduling:
- Schedule and coordinate care visits, meetings, and trainings.
- Review and manage staff schedules and timecards daily.
- Initiate appointment reminders.
Clerical:
- Conduct outreach to new and existing referrals.
- Manage office tasks as directed.
- Enter data, generate reports, and complete audits as assigned.
- Prepare documentation for patient/client visits.
- Schedule, communicate, and prepare materials for team meetings.
- Support programmatic billing needs.
- Manage distribution of patient experience/satisfaction surveys.
Orientation:
- Assist in all tasks related to onboarding new staff.
- Schedule applicant interviews, orientation, and orientation reviews.
Clinical:
- Prepare charts and complete SCM intake/information sheets for new SCM patients: Gather patient information related to diagnoses, advanced directives, place of service, primary and specialty providers, insurance verification, insurance pre-authorization, recent hospitalizations, overall clinical status, reconcile medication list, etc.

Requirements
Qualifications
High School diploma or GED (General Education Development).
Medical Assistant Certification (CMA) with a minimum of two years CMA experience (preferred) related experience
Valid Wisconsin Driver’s License, reliable transportation, and proof of current automobile insurance coverage.
